Quick Start

What the planner is

One employer. One care team. A monthly look at funding, care hours, total cost, the operating balance, and the 12-month operating reserve.

Who this guide is for

A navigator, or another person supporting a CSIL employer. The workbook is the planner. This guide shows how to use the example and how to explain the results.

Not payroll, a timesheet, a schedule, or a pay recommendation.

The pictures and figures on this site are this file. It is a v1.2 preview example, client code DEMO-6H. It is safe to explore. It is not a real employer file, and it is not a released workbook.

Follow the workbook

Funding, Care Team, and Expenses are the three places you edit. They feed one Current Plan and one Proposed Plan. Client Review only reads those two plans.

  1. Step 1FundingThe funding rate, funded hours, and the shared reserve settings.
  2. Step 2Care TeamWho works, the pay on each row, and care hours.
  3. Step 3ExpensesRecurring costs that are not wages, with the policy note beside them.
  4. Step 4Client ReviewA read-only comparison of Current and Proposed.

Try the example

Client code DEMO-6H. Sample plan — 3h morning + 3h evening daily. The proposal name is blank. A blank Proposed cell inherits Current.

  1. On Funding, read $38.19 per hour and 182.5 funded hours per month. Proposed funding rate is $40.52 per hour. Proposed hours are blank, so they stay the same.
  2. On Care Team, find Alex Reed covers weekday mornings and evenings, 3 hours a day. Each of those rows is 15 paid hours and 15 care hours a week at $30.00. Jordan Kim covers weekend mornings and evenings, 3 hours a day. Each of those rows is 6 paid hours and 6 care hours a week at $30.00.
  3. On Alex Reed, Evening support (3 hours), Current is $30.00 for 15 paid hours a week. Proposed rate is $30.90. Status, paid units, care hours, and vacation on that row are blank. Proposed rates are entered as values. Weekday evening is $30.90. The other explicit Proposed rates are $31.80 on the $30.00 rows, $233.20 on the $220.00 shifts, and $32.86 on the $31.00 casual hour.
  4. Accounting / bookkeeping / payroll services is $141.26 a month. The verified limit is $300.00 a month, so this row is within the limit. Its Proposed amount is blank, so the cost stays the same. Recruitment facilitation is $200.00 a month, which is at the verified $200.00 monthly limit. Its Proposed amount is blank.
  5. On Client Review, compare Current and Proposed. Care hours match. Funding and total cost are both higher on Proposed. The operating balance moves from a small deficit to a small surplus, so the 12-month reserve is higher.

Walk through the example

Read the common dashboard

The same five measures sit at the top of Funding, Care Team, Expenses, and Client Review. Current is on the left. Proposed is on the right. A change on any editing sheet updates the dashboard everywhere.

Current Plan and Proposed Plan on the DEMO-6H example. These figures are copied from the example workbook. This page does not calculate them.
MeasureCurrentProposed
Funding / month$6,969.68$7,394.90
Care hours / month182.50182.50
Total cost / month$7,004.68$7,332.58
Operating balance / month-$35.00$62.32
12-month operating reserve$2,579.96$3,747.81

Hours, the operating balance, and reserve growth are related, and they are not the same reading. Care hours above funded hours do not by themselves mean the budget fails. A balance that fits the funding can still miss the reserve-growth goal.
